Why do I need a wedding day coordinator?

Weddings are major events that involve typically 5-25 different vendors and many  employees, serving sometimes up to hundreds of people.  There are so many moving parts and so many different things that can go wrong on a wedding day.  Couples and families have invested significantly with time and money into the celebration!  

  • Who is going to make sure all the vendors show up on time? 
  • Who is going to make sure the vendors bring or do everything in the contract? 
  • Who is going to ensure everything is set up perfectly?  
  • Who is going to handle emergencies as they arise? 
  • How is a friend or family member going to know how to handle these situations if they are not experienced in weddings or events? 
  • How busy are you and your family and bridal party going to be getting ready and taking photos and all the other festivities of the day?  
  • Couples have already asked their friends and families to contribute to their celebration perhaps by paying for special attire, travel costs, time and many other ways.  Don't you want them to enjoy the day with you instead of putting them to work during your wedding day?  

If you answered yes to any of these questions, you should consider hiring a day of wedding coordinator or wedding day manager.  A day this important and this involved needs a manager! Invest in a professional, so you can-

How does the event planning process work?

  1. You get in touch with us.
  2. We meet for consultation(s) by phone, zoom, or in person.
  3. Better Together Events prepares event planning proposal.
  4. Contract is signed.
  5. Together, we have multiple planning consultations per your contract. 
  6. Better Together gets to work on your event and plans the details with check-ins with you as needed. 
  7. Vendors are selected and contracts are signed directly between the customer and the outside vendor. 
  8. Better Together provides you with the final details and timelines. 
  9. Finally your day has arrived and you enjoy your event while we do all the work!  

How does the wedding day management process work?

  1. Once the contract is signed, we start with an onboarding meeting in person, zoom, or by phone.  
  2. During the time you are doing the majority of planning, we are available by phone, email, or text for questions or vendor recommendations.
  3. Around 90 days prior to the wedding, we meet again for a comprehensive coordination meeting.  In following up from this, we provide a to do list for you, and we begin to draft your wedding day timeline.  
  4. During the 90 days prior to your wedding, we will conduct an onsite venue visit, do final walk through, food and beverage planning, and floor plan creation.  
  5. We finalize your timeline and contact your vendors for final confirmation of details.  
  6. We continue to support you throughout the last few months with check-in calls as needed but typically at 1 month prior and 1 week prior.  
  7. If requested, we coordinate the details of your ceremony from the processional and recessional, rehearsal, and bridal party management.  
  8. Finally your day has arrived and you enjoy your wedding and reception while we do all the work!  

What is the difference between a venue coordinator and an independent planner/coordinator?

Venue coordinators are hired to work for the best interests of the venue and the venue's contractual obligations to you.  Typically they manage the internal detail coordination at their venue, although some venue coordinators will coordinate with other vendors.  


An independent planner and coordinator works for YOU! The entire basis of their job is to make sure everything is perfect for you and your event.  This includes coordinating with all vendors, timelines, and so many other services included in your contract with your independent planner.  

Do we work with clients out of the state?

Better Together Events is based in central Indiana, so we are most knowledgeable with venues and vendors in that area.  In most situations, it is ideal for us to work in that region.  In some situations, we may be able to provide out of the area services.  We can discuss this further in the consultation process.  

We only need help on the day of our wedding, can you do that?

Some coordination companies offer that service, but we do not.  We believe for the most smooth wedding or event, it requires a lot of advanced planning.  We typically meet with our clients at least 3-5 times before their wedding and actually spend 10-20 hours assisting in the organization before your wedding day. This is how we provide the best possible service to insure that your special day is as smooth as possible and we avert as many possible issues as we can.

Do we offer design or styling services?

Better Together Events can assist with basic design and styling services in addition to event planning or wedding planning.  We work with you to brainstorm theme or style ideas. We develop color suggestions, a mood board and suggested decorative items.  Then, we recommend vendor partners to make your vision come to fruition.  


If you chose to hire us for vendor management (included in full event planning or add-on to event coordination), we consult vendors on your behalf.  We work with those vendors to coordinate the perfect style and further develop an awe inspiring design concept.  Then we will take it one step farther to coordinate with the appropriate floral, decor rental or other vendors to bring the design to life.  

Do we offer any decorations for rent?

At this time, Better Together Events does not offer any rental items.  We can recommend great vendor partners that offer a wide selection of decorative items, and we will be glad to coordinate with them.    

How do you assist non-profit organizations with event planning?

The event planning needs of a non-profit organization can vary significantly.  We start with an in depth consultation to discuss the non-profit event planning needs and goals.  Then we create a plan and proposal to help achieve your goals.  We work on a contractual basis for a flat rate or hourly.  We love working with non-profit organizations, so please contact us to discuss this further!
